Merging Candidate Data

Need to consolidate candidates who’ve applied to multiple jobs? Find out how to merge candidate records into a single profile.

With Breezy’s candidate merge feature, you can combine up to 3 profiles for the same person into one profile that’s associated with a single position.

Merging candidate data is different from combining candidate data, which lets you link multiple profiles together, each associated with a different position.

⚠️ Merging candidate data is permanent and can’t be undone.

How to merge candidate profiles

You’ll need admin permissions to merge candidate profiles.

You can choose one profile to use as the master record and the position to associate it with. Then, you can choose which data to include from each profile. Plus, some info from all the profiles, like interview schedules, email/SMS history, and notes will be included.

The other profiles you merge data from will be removed and can’t be recovered.

Notes:

  • The most recently added EEOC and GDPR data will be saved, regardless of which profile it’s from.`

  • Scorecards will be included only if they are already associated with both the master candidate record and the selected position. All other scorecards will be removed and can’t be recovered.

Merging records from the candidates list

You can choose profiles to merge from the candidates view, globally or inside a position.

  1. Click Candidates in the left sidebar, or open the candidates view of a position.

  2. Click the checkbox next to each profile you’d like to merge.

  3. Click the More menu near the top of the window and choose Merge Candidates.

  4. Choose a position from the Positions dropdown.

  5. Chose a pipeline stage from the Select Stage dropdown, if applicable.*

  6. Click the Set as Master Record checkbox to choose the primary profile for the merge.

  7. Click the checkboxes for each candidate detail that you’d like to include.

  8. Click Next Step.

  9. Continue through each step to select the experience, resume, documents, tasks, references, and other data you’d like to include.

  10. Review your choices and click Finalize Merge.

  11. Click Yes, please to confirm.

  12. Click View Profile to view the merged profile.

Merging records from the profile view

You can choose profiles to merge right from a candidate’s profile. Breezy will recommend profiles to merge based on matching email addresses.

  1. Open a candidate’s profile.

  2. Click the More icon (three dots) near the top of the window.

  3. Click Merge.

  4. Choose a position from the Positions dropdown.

  5. Chose a pipeline stage from the Select Stage dropdown, if applicable.*

  6. Click the Set as Master Record checkbox to choose the primary profile for the merge.

  7. Click the checkboxes for each item you’d like to include in the merged profile.

  8. Click Next Step.

  9. Continue choosing data and documents to merge.

  10. Review your choices and click Finalize Merge.

  11. Click Yes, please to confirm.

  12. Click View Profile to view the merged profile.

*If you choose a position and master record that are already associated with each other, the merged profile will appear in the same pipeline stage as the original master profile.

💡 Tip: Save time with Auto Merge!

You can click Auto Merge during any step of the merge process. Breezy will include candidate details and documents from the master record, plus the default data from the other profiles.
