Document eSigning

You can send documents for eSignatures right from Breezy. Find out how to create and save templates for collecting signatures.

Breezy's integrated document signing lets you send and receive legally binding, signed documents. And it’s as simple as attaching a document to an email.

eSigning is available to customers on Growth, Business, and Pro plans.

Admin permission is required to create and edit eSignature templates.

Signature requests are sent with templates, so you can create each document once — like a tax form or NDA — and automatically customize it for each candidate.

How to create an eSignature template

eSignature templates are created just like other message templates in Breezy, but with an added step: You’ll attach a PDF file that will be used to collect signatures.

To create an eSignature template:

  1. Click the gear icon ⚙️ in the left sidebar.

  2. Hover Templates.

  3. Click eDocuments.

  4. Click +eDocument.

  5. Enter a name for the template.

  6. Choose Signature under Document Type.

  7. Under Attach Document, choose the PDF file you’ll use as a template.

  8. Click +Signer and enter a name or role to add signers, if needed (the candidate is included by default).

  9. Click the Expiration dropdown to choose an expiration time for the document—7, 14, or 30 days after sending the request, or Never.

  10. To move the candidate to a new stage after signing is complete, click the Move on Completion toggle and choose a stage from the dropdown.

  11. Choose a folder to save the template in, if you like.

  12. Click Save & Configure to customize the eSignature document.

Note: By default, eSignature requests expire if they’re not completed within 7 days of being sent to a candidate. You can change the expiration time on an existing template, but requests that have already been sent will expire at the original setting.

Creating an eSignature document template in Breezy Hire

Your document will open so you can add the fields you need the signer(s) to complete. You can choose from several types of fields—not just a signature.

To customize an eSignature template document:

  1. Click the Signers dropdown to choose which signer to assign fields to.

  2. Click a field on the left sidebar and drag it to the correct location in the document.

  3. Customize the settings for the field in the right sidebar.

  4. Repeat for all signers and fields.

  5. Click Save Template.

Now you can customize the email message that will be sent with your eSignature document attached.

  1. Edit the email subject line, if you like.

  2. Compose your message, using variables and custom fields as needed.

  3. Click Save.


How to request an eSignature

You can send a document for signature from the candidate’s profile.

  1. Open the candidate’s profile.

  2. Click Email/SMS near the top of the window.

  3. Click Compose Email.

  4. Click the + Insert dropdown.

  5. Click eDocs Templates on the left and choose the correct template on the right.

  6. Add names or email addresses for extra signers, if required.

  7. Review and edit the subject line and email message.

  8. Add attachments, if needed. The contents of your attached files will be added to the eSignature document.

  9. Click Request eSignature to review and update the signature document.

  10. Click Continue to send the signature request email.

Sending an eSignature request from the candidate profile

Once your message has been sent, you'll see it in the candidate’s conversation history.

The candidate will receive an email with the subject line and message text you provided, plus a link to the document you’ve requested the signature on. When they complete the signature document, it will be sent to any additional signers, in order, then back to Breezy.

You’ll receive email notifications from Breezy when the candidate opens the email and when they've submitted the document. You can also check status and download signature requests on the Documents tab of the candidate’s profile.

Important notes:

  • You can only send eSignature requests manually (not with Stage Actions).

  • You can only send eSignature requests to one candidate at a time (not with bulk messaging).

  • You can save a maximum of 300 Electronic Document templates, including both offers and eSignature requests.
