With message templates, you can create and customize emails, text messages, and nurture campaigns. When you create a template you can use it over and over—saving time, ensuring accuracy, and giving candidates a seamless experience.
Hiring Manager access (or a custom role with the appropriate permissions) is required to view conversations and engage with candidates.
Admin access is required to create and edit templates.

Click the gear icon ⚙️ in the left sidebar.
Hover over Templates.
Click Messaging.
How to create an email message template
To create a new email template:
Click the gear icon ⚙️ in the left sidebar.
Hover over Templates.
Click Messaging.
Find Email & SMS Templates.
Click + Email.
Enter a name for your template.
Edit the subject line, if you like.
Compose your message, using variables, scheduling links, custom fields, and attachments as needed.
Select a folder to save the template in, if you like.
Click Save.
Your template will be available from the + Insert dropdown when you’re drafting an email to a candidate.

How to create an SMS message template
To create a new text message template:
Click the gear icon ⚙️ in the left sidebar.
Hover over Templates.
Click Messaging.
Find Email & SMS Templates.
Click + SMS.
Enter a name for your template.
Compose your message, using variables, custom fields, and scheduling links as needed.
Select a folder to save the template in, if you like.
Click Save.
Your template will be available from the + Insert dropdown when you’re drafting an SMS to a candidate.
How to edit the SMS meeting reminder message
With SMS reminders, you can send a text to candidates ahead of a scheduled interview. An SMS subscription is required to send SMS reminders.
To enable SMS reminders:
Click the gear icon ⚙️ in the left sidebar.
Hover over Templates.
Click Messaging.
Find SMS Meeting Reminder.
Compose your message, using variables as needed.
Choose the timeframe to send reminder messages.
Click Save Changes.
Hiring Managers can opt to include an SMS reminder when they schedule candidate interviews.
How to use template variables and custom fields
Template variables and custom fields let you automatically include certain details in your messages, such as a candidate's name, your company name, or a position title.
To enter template variables and custom fields:
Create or open a template.
Click where you’d like to add a variable or custom field.
Click the Template Variables or Custom Fields dropdown and choose the correct field.
The field name, in brackets, will be inserted in your cursor’s location. Be sure to add spaces or punctuation as needed around the brackets, but not inside them.
How to use templates in messages
You can use message templates when creating candidate emails and SMS messages. Instead of typing out individual messages, just choose a template from the + Insert dropdown in the composition window.
You can edit the message once you’ve selected a template, to add a personal touch! The message preview will display the actual data for each variable or custom field, so you can see what the final message looks like before you send it.
Note: If a custom field name is shown instead of actual data, the field is blank or has been disabled.
Templates are also used in Nurture Campaigns, Offer Letters, and e-signature requests.
