Breezy’s candidate sourcing tool uses AI to suggest candidates who’ve previously applied to other positions. You can save time (and money) by reaching out to people who’ve already shown interest in your company. 🙋
Candidate Sourcing is a paid feature that uses Breezy Intelligence credits.
How Candidate Sourcing works
You can use Candidate Sourcing to suggest new applicants for any position. It uses AI to search your Breezy account data for previous applicants who are a good fit for the position.
Candidate sourcing uses Applicant Insights functionality to compare candidates’ qualifications and experience against the job description in your position’s settings. You’ll see a list of potential candidates in the position pipeline, where you can view a copy of their original profile and choose to reach out to or decline each one.
When you opt to reach out to a suggested candidate, they’ll receive an email inviting them to apply for the position. If they accept your invite, they can opt to upload a current resume. Their profile will be updated and moved to the applied stage of your position pipeline. If they decline, they’ll be removed from your list of suggested candidates.
Important Notes:
A minimum of 500 candidate records is required to enable and use AI Candidate Sourcing.
Candidates can be sourced from any positions in your Breezy account, though candidates in a Hired stage will not be included.
Candidates are excluded from AI-powered sourcing if they were added more than 3 years ago, do not have an email address, have expired GDPR consent, or are blocked.
Candidate profiles (including activity, documents, assessments, and communication) may become available to users who did not have access to the position they were originally associated with.
Candidate sourcing provides up to 25 candidate suggestions at a time. Sourcing can be run repeatedly until no candidates meet the match criteria.
Each sourcing operation uses approximately 50,000 Breezy Intelligence credits. The actual usage varies with position requirements and match criteria and may be higher or lower. An estimate of credit usage will be displayed as you set up sourcing criteria.
How to enable Candidate Sourcing
An admin can purchase Breezy Intelligence credits on their subscriptions page and choose which tools to enable for their team.
To enable Candidate Sourcing for your company:
Click the gear icon ⚙️ in the left sidebar.
Click Company Settings.
On the General tab, scroll to Breezy Intelligence.
Find Candidate Sourcing and click the toggle to enable.
With Candidate Sourcing enabled, anyone with Hiring Manager access (or a custom role with permission to “Add new candidates to a position”) can source candidates for a position they’re assigned to.
How to run Candidate Sourcing
Hiring Managers, or users with a custom role that includes the correct permission, can run Candidate Sourcing for any positions they’re assigned to.
Open the correct position.
Click Source Candidates near the top of the screen.
On the Candidates tab, choose whether to source candidates from all positions or from a list of up to 10 positions.
When you select all positions, only relevant positions will be used to suggest candidates, not necessarily all positions in your database.
Choose whether to limit your search to positions based in the same country as the current position, or further, to the same city and state.
Click Next to continue to the Insights tab.
Customize the Applicant Insights criteria to evaluate candidates.
If Applicant Insights is enabled for the position, the existing criteria will be used. Changes you make for candidate sourcing will be reflected in the position’s screening settings. If Applicant Insights is not enabled, the default criteria will be provided.
Adjust the slider to set the minimum match score for candidate suggestions.
Click Next to continue to the Stage tab.
Choose which stage to move candidates to if they accept your invitation to apply, and whether to trigger stage actions when they move.
By default, candidates will be moved to the Applied stage and stage actions will be triggered.
Click Save Stage Configuration.
Click Next to continue to the Outreach Email tab.
Customize the message sent to candidates when a Hiring Manager invites them to the position.
You can create a message from scratch and use variables, or click Generate to create a draft with Help Me Write. Help Me Write uses additional Breezy Intelligence credits.
This email will only be sent when a Hiring Manager reaches out to a suggested candidate, not when the list of suggested candidates is generated.
Click Save & Quit to return later, or Find Me Candidates to start sourcing.
Note: While candidate sourcing uses Applicant Insights technology to suggest candidates, it’s not necessary to enable Applicant Insights in the position’s settings. Likewise, running Candidate Sourcing will not enable Applicant Insights at the position level.
It may take up to 30 minutes to suggest a list of candidates. You can leave the position view and work on something else—we’ll email you when the list is ready! 📩
The Applicant Insights criteria from the sourcing settings will be used to score how well candidates match the role. The top 25 matches from your candidate database (who meet or exceed the minimum score) will be shown in a new column of the position’s pipeline.
You can re-run the sourcing task until no candidates are found that receive the minimum score. To continue sourcing after that, you’ll need to revise the Applicant Insights criteria in the sourcing settings.
To re-run sourcing
Open the correct position.
Click the more menu (three dots) at the top of the suggested candidates list.
Click Source More Candidates.
Follow the steps to update sourcing criteria as needed.
Click Find Me Candidates.
New suggestions will be added to the list of potential candidates.
How to manage suggested candidates
When Candidate Sourcing is finished, you’ll see the list of suggested candidates in a column on the left of your position pipeline. You can switch between suggested and invited candidates at the top of the list.
Click a candidate’s name to view a read-only copy of their original profile, with the score and details from their sourcing analysis. From there, you can choose to decline the suggestion or reach out to the candidate and invite them to apply for the position.
To invite a suggested candidate to apply:
Open the correct position.
Click the candidate’s card to open their profile
Click Reach Out in the top-right corner of the screen.
The candidate will receive the email created in the Outreach Email step of the sourcing setup. The email includes options to either accept or decline the invite.
If they accept, they can choose to upload their resume, and their profile will be unlocked, noted as “sourced”, and moved to the stage you chose in the sourcing settings. If they provide a new resume, it will replace the one from their original application—that will be moved to the Documents tab of their new profile.
If you decline a suggested candidate or they decline your invitation, they’ll be removed from the list. The copy of their profile, including sourcing analysis results, will not be saved.
