Stage Actions automate the repetitive actions you take each time a candidate moves to a certain stage, like sending a thank you email after a candidate applies, or asking your hiring team to give feedback after an interview.

Candidate automation with Stage Actions is available to customers on all paid plans. Admin or Hiring Manager permissions are required to edit stage actions.

Types of Stage Actions

The stage actions available to you (and the options associated with them) may vary, depending on the integrations that have been enabled on your account.

Here’s a look at the most common stage actions:

  • Send Email/SMS: Choose a message template to send to a candidate and decide if you’d like to delay sending. Note that this action only occurs if a candidate’s email address (or mobile number) is available.

  • Send Questionnaire: Choose a questionnaire to send to a candidate and decide if you’d like to delay sending.

  • Send Assessment: Choose an assessment to send to a candidate, and decide which stage to move them to after the assessment is complete.

  • Team Feedback: Send an email to each member of the Hiring Team, requesting their feedback on the candidate.

  • Candidate Scorecards: Assign a task to each member of the Hiring Team, to complete the scorecard for the candidate.

  • Assign Hiring Manager: Choose a Hiring Manager to assign the candidate to, or to rotate assignments within the Hiring Team.

  • Run Background Check: Run a background check on the candidate. Note that this automation is currently only available with our Checkr background check integration.

  • Background Check Result: Choose which stage to move the candidate after their background check is complete, depending on whether they pass or fail.


How to use Stage Actions

You can create and edit stage actions from a position’s pipeline or settings, or from your recruiting preferences.

Notes:

  • Stage actions are only triggered the first time a candidate enters a stage.

  • Stage actions on the Applied stage will not trigger for sourced, referred, or externally recruited candidates. You can use dedicated stage types to create automations for these candidates. Learn more about custom stages.

Adding stage actions to a stage

From Recruiting Preferences

Stage actions created or changed through Recruiting Preferences are global and apply to all positions using the affected pipeline.

  1. Click the gear icon ⚙️ in the left sidebar.

  2. Hover over Recruiting Preferences and click Pipeline Stages.

  3. Find the correct pipeline and click the edit icon (pad and pen) on the right-hand side.

  4. Find the stage where you’d like to set the action and click the edit icon (pad and pen) on the right-hand side.

  5. Click the dropdown for Available Stage Actions and select the correct action.

  6. Click + Add next to the name of the Stage Action. The newest action will be added to the list of Configured Stage Actions.

  7. Choose options for the Stage Action, if any.

  8. Click Save Changes.

Edit stage actions from recruiting preferences

From the Pipeline view

Stage actions created or changed through a position’s pipeline view only apply to that specific position and override any global stage actions associated with the affected pipeline.

  1. Click Positions/Pools in the left sidebar.

  2. Open the correct position.

  3. Click the settings menu (three dots) for the stage where you want to set the action.

  4. Click Edit Stage Actions in the dropdown.

  5. Click the dropdown for Available Stage Actions and select the correct action.

  6. Click + Add next to the name of the Stage Action. The newest action will be added to the list of Configured Stage Actions.

  7. Choose options for the Stage Action, if any.

  8. Click Save Changes.

From Position Settings

Stage actions created or changed through a position’s settings only apply to that specific position and override any global stage actions associated with the affected pipeline.

  1. Click Positions/Pools in the left sidebar.

  2. Open the correct position.

  3. Click the gear icon ⚙️ in the top-right corner of the window to open Position Settings.

  4. Click Pipeline in the left sidebar.

  5. Find the stage where you’d like to set the action and click Add or Edit Stage Actions.

  6. Click the dropdown for Available Stage Actions and select the correct action.

  7. Click + Add next to the name of the Stage Action. The newest action will be added to the list of Configured Stage Actions.

  8. Choose options for the Stage Action, if any.

  9. Click Save Changes.
